Payroll is coming to LetterUp

Run salaries in the same place as your staff records and leave. LetterUp works out each person's pay, PAYE, UIF and SDL, puts every payslip in that person's own login, and gives you the figures for SARS and a payment file for your bank. We are opening it to a small number of companies first, and we would like yours to be one of them.

What is in it

A whole month's payroll, start to finish

Everything below is built and working in LetterUp today. Early access means you are among the first companies to run it, with us on hand while you do.

Pay worked out for you

Salaries, hourly pay and overtime, bonuses, commission and allowances, with PAYE, UIF and SDL taken off at this year's rates. Unpaid leave comes straight from LetterUp's leave, so it is never captured twice.

Funds and deductions

Retirement funds, medical aid with the tax credit, union fees, staff loans and court orders, each with its own monthly list of what is owed to whom.

Payslips in their own login

When you release a month, every person finds their payslip in My Profile, and can be emailed it too. A released payslip never changes: a correction goes on the next one.

The figures for SARS

Each month's PAYE, UIF and SDL added up from the payslips, ready to type into eFiling. At the end of the tax year, the figures for each person's tax certificate and for the reconciliation.

A file for your bank

One file with everybody's net pay, to load into your own business banking. LetterUp never holds or moves money: you approve the payment with your own bank login.

Bargaining councils

If your company falls under a council, its levies and the schedule it asks for each month. You can type the amounts yourself, so a change in the rates never has to wait for us.

Checked before it is paid

LetterUp shows you what changed since last month

Before a month can be approved, LetterUp lays it next to the month before: who is new, who has left, whose pay went up or down and by how much, and whose bank account changed. If somebody's net pay is more than a quarter above last month's, you tick that you have checked it before the month can go any further.

  • A changed bank account is named before anybody is paid into it
  • Pay below the minimum wage is flagged by name
  • Finalising a month asks for a code from your phone, and a second approver if you want one
  • Paid somebody too much? Take it back on the next payslip, and the tax follows

Reports

Every report your accountant asks for

A payroll register for the month or the tax year, what changed, what to pay and to whom, a journal for your books, and the cost to company. Each one is a page you can read, a PDF and a spreadsheet, and each adds up to the payslips to the cent.

Payment reminders

Never miss the 7th again

LetterUp reminds the people you choose that a payment is due: SARS, your bargaining council, or any payment of your own, such as the provident fund. In LetterUp and by email, the days before that you choose and again on the day, until somebody presses Done. A due date on a weekend or a public holiday moves to the business day before it.

How joining works

Ask to join

Tell us how many people you pay and what you use today. We reply within one working day.

We switch it on

Payroll appears in your LetterUp menu. Your people are already there, so you add tax numbers, bank details and salaries, and figures from your old payroll if you change mid-year.

Run a month alongside

Run your first month next to the payroll you have now and compare the two. Switch over when the figures agree.

Does LetterUp pay my staff or SARS?

No. LetterUp works out the figures and makes the files. You load the payment file into your own bank and approve it there, and you submit to SARS and pay them yourself, as you do now. LetterUp reminds you when each payment is due.

We already use SimplePay. Do we have to move?

No. The SimplePay connection and the monthly payroll file stay exactly as they are. Payroll in LetterUp is for companies that would rather have it all in one place.

Who can see salaries?

Only the people you give payroll permission to can open the pay runs and reports, and each employee sees only their own payslips.
