What the same money buys elsewhere
| Per month, 20 employees | What you get | Cost |
|---|---|---|
| Labour consultant retainerTypical SA small-business retainer | Advice on request and letters drafted for you, usually an hour or two a month. No system, no records, nothing for your staff to log into. | R1,500 – R4,500 |
| Per-employee HR softwareSA vendors at R27 to R79 per employee | Records, leave and self-service. Discipline, documents and performance often sit on a higher tier. Leave rules are generic and documents are yours to write. | R540 – R1,580 plus tier upgrades |
| Global HR platformPriced in US dollars per employee | Broad and polished. South Africa is a dropdown, and the BCEA and LRA remain your problem. | R2,900 – R6,000+ |
| LetterUp Medium | Everything on this page, with South African labour law in the engine. | R849 |

The details
Which employees count?
Active employees and employees on leave. Anyone marked as terminated does not count and never will, although their record stays on file for the three years the BCEA requires.
What happens when we grow past our band?
Nothing is blocked. You can add an eleventh employee on the Small plan, because an employee with no record is an employee with no contract and we will not put you in that position. LetterUp shows you that you are over your band and moves you to the next one at your next billing date.
Can we change plans ourselves?
For now we do it for you. Email support@letterup.co.za and it is done the same working day with no double billing. Self-serve plan changes are on the way.
How does billing work?
Monthly by card through PayFast, one of South Africa's largest payment processors. Your card details never touch LetterUp. Enterprise customers are invoiced instead. There is no annual contract: cancel from Settings and your access runs to the end of the month you have paid for.
What happens to our data if we cancel?
Access pauses and the data stays. You can export everything as CSV and branded PDFs from Settings at any time, and you can request full erasure under POPIA whenever you choose. We will never delete a business's records because a card failed.
Is there a discount for paying annually?
Not yet. Enterprise customers can be invoiced annually. If you want to pay a year up front on a smaller plan, email info@letterup.co.za and we will make a plan.
Is VAT charged?
No. LetterUp is not currently VAT-registered, so no VAT is charged and none can be claimed. When that changes, existing customers will be told in writing at least a month beforehand.
Do you offer a refund?
The 14-day trial is there so you can decide before you pay. Once a month is billed there is no pro-rata refund for the rest of it. If you were charged after cancelling, charged twice, or the service failed to deliver, you get that money back in full. The policy is short: refund policy.
