For the employer who has to get it right without an HR department
LetterUp is South African HR software for businesses of any size, from a first hire to a workforce of hundreds. It is built in the Helderberg, Western Cape, by a small software company that employs people here and keeps its own staff records in it.
Why we built it
An employer with ten staff has the same statutory obligations as one with a thousand. Leave cycles under the BCEA. Written particulars for every employee. A fair procedure under the LRA before any warning or dismissal. POPIA duties over every record you keep about a person.
The difference is who carries them. The thousand-person company has an HR department and a labour attorney on retainer. The ten-person company has the owner, a folder of Word templates of uncertain origin, and a consultant they phone once something has already gone wrong.
We looked at what was available before building anything. The global platforms are good software, and South Africa is a dropdown in them. The local systems handle leave and records well, then give you an empty folder called "Disciplinary" for your own letters. None of them would draft the letter, keep you in the right order, or tell you that the warning you were about to escalate on had lapsed in March. That last one is what usually loses a case.
What we hold ourselves to
South African law in the engine, not in a settings page. The BCEA entitlements, the disciplinary procedure, the public-holiday calendar and the section 40 leave payout are written into the code. Every legal claim the product makes has to cite its section, and a guide that names an Act without one stops the software from starting. That check runs on every build.
Every feature on every plan. The plans size your business. They never gate the compliance you are obliged to do anyway. A ten-person company gets the same disciplinary workflow as a fifty-person one, because the CCMA does not grade on headcount.
POPIA from the start. Staff records are personal information and sick notes are special personal information. That decides what the product shows to whom. It is why Ask HR is never given an employee record, and why the company calendar tells everyone that a colleague is away without telling them why.
Plain about the limits. LetterUp is HR administration and document preparation software. It is not a law firm, it does not give legal advice, and it will not tell you a document is compliant or guess what a commissioner will decide. Those limits are enforced in the code, not only on this page. For a dismissal or a CCMA referral, get a person, and take the file with you.
How it is put together
The wording in the document templates is benchmarked against the Acts and the Code of Good Practice, and a South African labour attorney reviews it before launch. We will say so on this page once that review is signed off.
- Card payments run through PayFast. Card details never reach LetterUp.
- The AI features receive your company name and the fields you type. They never receive an employee record, and answers are not stored.
- Uploaded documents sit in private storage and are only ever served after a permission check.
